A UPI merchant account lets you collect business payments through a merchant profile instead of asking customers to pay a personal UPI ID. This guide explains what you need, how to register with Paytm Business or PhonePe Business, and how to connect the account to PaymentSetu for payment verification.

UPI merchant account vs personal UPI

A personal UPI account is designed for your own bank transfers. A UPI merchant account is set up for accepting payments for a shop, service, website or other business activity. It normally includes a business name or store profile, a merchant QR, transaction records and a bank account for receiving the money.

The important distinction is where the money goes. With a merchant account, the customer pays into your own merchant account. PaymentSetu does not replace that account or hold the money: it matches the UTR and amount against the dynamic QR or order and sends a webhook after the payment is verified.

You can use a merchant account at a counter with a printed QR, on an invoice, or in an online checkout. If you want automatic order updates instead of manually checking screenshots, you can connect the account to PaymentSetu after the provider activates it.

What you need before you start

Keep these details ready before opening the account:

  • A mobile number that you can use for OTPs and account support.
  • Your personal or business PAN, as requested by the provider.
  • A bank account in the name required by the provider. Keep the account-holder name consistent with your submitted identity or business documents.
  • Your business or store name, category, address and operating details.
  • Clear copies or images of the KYC or business documents shown in the app. Depending on your business and the provider’s checks, these may include PAN, Aadhaar, GST registration, a driving licence, voter ID or business proof.
  • A phone with the official Paytm for Business or PhonePe Business app where the relevant app-based flow is required.

Requirements can vary by business type, account plan and the limits you request. Do not upload a document simply because an old checklist mentions it; follow the current list shown in the provider’s official signup flow.

Step 1: Choose the merchant account you want

Why this matters: your choice determines which provider’s merchant login you will later connect to PaymentSetu.

Choose Paytm Business if you want to begin through the Paytm merchant dashboard. Choose PhonePe Business if you want to register through the PhonePe Business app or the merchant registration route on PhonePe’s business site.

Both are merchant accounts for collecting UPI payments. They are different from signing up for a payment gateway, which is a separate product category with its own onboarding and integration process.

Before continuing, check three details:

  1. The business name you enter is the name customers should recognise.
  2. The bank account and identity details are consistent.
  3. You can complete OTP and document verification yourself rather than sharing credentials with an agent.

Success looks like: you have selected one provider and have the correct mobile number, bank details and documents in front of you.

Step 2: Open a Paytm Business account

Why this matters: Paytm’s merchant dashboard is the starting point for creating the business account and choosing the applicable plan.

  1. Open the Paytm for Business merchant dashboard.
  2. Sign in with an existing Paytm account, or create a new account using your mobile number.
  3. Select the business or merchant plan shown in the dashboard and complete the requested business details.
  4. Submit your personal or business PAN and a bank account in your name, as described in Paytm’s account activation guidance.
  5. If Paytm asks for additional documents for the plan or limits you select, upload clear, current copies through the dashboard.
  6. Finish the verification steps and wait for the dashboard to show that the merchant account is active.

Paytm’s support page says a personal or business PAN and a bank account in your name are used for instant signup, while higher monthly limits may require additional documents. This is why the documents shown during your own application should take priority over a generic online checklist.

Success looks like: you can open the Paytm merchant dashboard, see the business profile and merchant payment details, and access the account used to receive UPI payments.

Step 3: Open a PhonePe Business account

Why this matters: PhonePe’s merchant flow collects store and bank information before it completes the business verification journey.

  1. Download or open the official PhonePe for Business app, or begin from PhonePe’s merchant registration page.
  2. Start merchant registration and choose the business category and subcategory that best describe what you sell.
  3. Enter the business or store name and its location details.
  4. Add the bank account details used for the merchant account.
  5. Submit the KYC documents shown in the app. PhonePe’s merchant support guide lists examples such as PAN, Aadhaar, GST, driving licence and voter ID; the exact options depend on the application.
  6. Check that the name on the bank account matches the relevant KYC information, then submit the details.
  7. Complete any further verification step requested in the app. PhonePe’s merchant onboarding guidance says that an agent visit may be arranged after the details are submitted.

Do not share your OTP, UPI PIN or banking password with anyone helping you register. Use the official app or website and complete authentication on your own device.

Success looks like: the PhonePe Business app shows your store profile and merchant onboarding status, and the bank account is associated with the merchant profile.

Step 4: Connect the account to PaymentSetu

Why this matters: the merchant account receives the customer’s money; PaymentSetu adds order matching and verification for your checkout or workflow.

  1. Create a PaymentSetu account from the registration page.
  2. In the account setup, choose the merchant connector for Paytm Business or PhonePe Business.
  3. Complete the provider login and OTP verification when prompted. Use the same merchant account that you intend to use for receiving customer payments.
  4. Confirm the connected merchant profile and save the integration settings.
  5. Create a test order or payment request with the amount you intend to collect. For an online store, use the matching PaymentSetu plugin or API workflow; for a service business, use a dynamic QR tied to the order or invoice.
  6. Check the PaymentSetu dashboard after payment. The order should be matched using the payment details, and your configured webhook should receive the verified status.

PaymentSetu is a payment verification service, not a payment gateway. The customer pays your own Paytm Business or PhonePe Business merchant account, the money settles there directly, and PaymentSetu matches the payment to the right order. There is 0% commission on payments; the service uses a flat plan with credits for successful payment verification.

For a WooCommerce store, the WooCommerce plugin can mark an order paid after verification. A hosting company can use the WHMCS gateway module for invoices and renewals.

Success looks like: the connected merchant profile is visible, a test payment is matched to the correct order, and your application receives the verified result rather than relying on a customer-sent screenshot.

Step 5: Set up your day-to-day payment process

Why this matters: a merchant account is only useful when your staff or system can reliably identify which customer order has been paid.

Use a consistent process for every payment:

  1. Create an order, invoice or payment request with the correct amount.
  2. Show the customer the matching dynamic QR or payment instructions.
  3. Let the customer pay into your connected merchant account.
  4. Wait for the verified status in your dashboard or application before dispatching goods, activating access or marking an invoice complete.
  5. Keep the order ID and payment reference together for reconciliation.

For a small shop or freelancer, the free UPI QR code generator can help you make a printable QR for payments that do not need automatic order matching. For invoices, use the free invoice generator with UPI QR and move to PaymentSetu verification when you need an automated workflow.

Verify the setup before accepting real orders

Run through this checklist before you put the QR on your counter or publish the checkout:

  • The business name shown to customers is correct.
  • The QR or payment request contains the right amount and order reference.
  • The customer’s payment goes to your own merchant account, not a personal account or someone else’s QR.
  • The PaymentSetu dashboard shows the connected Paytm Business or PhonePe Business profile.
  • A test payment is associated with the right order.
  • Your webhook or plugin receives the verified status only after the payment is matched.
  • Your team knows not to treat a screenshot as proof of payment.

Keep the test order separate from a live customer order. Once the flow works, document who checks the dashboard, who handles reconciliation and when an order can be fulfilled.

Troubleshooting merchant account setup

The bank account name does not match

Recheck spelling, initials and the legal or account-holder name in the provider form. PhonePe’s merchant onboarding guidance specifically asks applicants to make sure the bank-account name matches the KYC name. Correct the source details or use the provider’s support flow rather than creating duplicate accounts.

I do not have every document listed online

Start the official application and read the documents offered for your business category. A document list can differ by provider, business type and requested limits. If the app offers an alternative business proof, submit only an accepted, clear document.

I opened a personal UPI account by mistake

Do not use it for an automated business checkout just because it has a UPI ID. Register the appropriate business or merchant profile, then connect that merchant account to PaymentSetu.

The payment was made but the order is not marked paid

First compare the amount, order reference and UTR in the merchant account with the order in PaymentSetu. Then confirm that the right merchant profile is connected and that your plugin or webhook is configured for the same order. Fulfil the order only after the payment status is verified.

FAQ

Can a small shop open a UPI merchant account?

Yes, a shop can apply through a merchant provider such as Paytm Business or PhonePe Business. Keep your PAN, bank details, store information and the documents requested in the official application ready.

Is a GST certificate always required for a UPI merchant account?

Not necessarily. The documents requested depend on the provider, business type and verification route; PhonePe’s merchant support guidance lists GST alongside other possible KYC or business documents. Follow the current options shown in the official app and do not assume that an old checklist applies to every applicant.

Can I connect both Paytm Business and PhonePe Business to PaymentSetu?

PaymentSetu currently has connectors for Paytm Business and PhonePe Business. Choose the merchant profile you want to use for a particular workflow and complete its OTP login during setup.

Is PaymentSetu a UPI payment gateway?

No. PaymentSetu is a payment verification service: the customer pays your own merchant account, and PaymentSetu matches the payment to the order and sends a webhook. It does not hold the funds or replace the Paytm Business or PhonePe Business account.

How much does PaymentSetu cost for a small business?

The PaymentSetu Starter plan is ₹399 per 30 days and includes 100 credits, where one credit represents one successful payment verified. It also includes dynamic QR, webhooks, REST API access, a unified dashboard and real-time notifications.
